Create Academy Signature Line

  1. In your gmail, click the gear icon in the upper right of your screen and select ‘See all settings’

  2. Scroll down to the Signature section

  3. Copy the gmail signature template below. 

    1. Use your mouse and drag over it to select all the parts from name and position to the social media icons 

    2. CTRL + C to copy

  4. Click the text field in the signature pane and paste in the copied signature (CTRL + V)

  5. Change to Your Name, position, email and phone number

  6. Update the link on the email text by selecting the entire email text 

    1. click on the link icon in the toolbar and select ‘change or remove’

  7. Feel free to add additional information to appear in your signature line below the icons.

    3. My working day may not be your working day. I work flexibly and sometimes send emails at odd times. Please do not feel obliged to reply to this email outside your normal working hours.

  8. Scroll to the bottom of the page and click Save (Don’t forget this step!)

Notes/Troubleshooting

  • You can also copy the Gmail Signature Template 

  • The font should be Verdana or Montserrat (closest match to Museo)

  • Be sure to change the font to Verdana or Montserrat for any additional information you add

  • Logo file: Academy Logo

  • If you change your signature and it still does not change go back to Settings > Signature and change the Signature Defaults and click Save.



 Set up an “out of office reply” on your Gmail   

  1. Click the Settings gear in Gmail (on the right side of the screen).

  2. Select ”See all settings” at the top of the menu.

  3. In the Settings window scroll down to find the Vacation Responder section and select Vacation responder on button.

  4. Fill in the date range, subject, and message. Preselect the first day and last day to have vacation responder automatically turn on and turn off the out of office message.

  5. In the message indicate the date(s) that you will unavailable and who to contact in your absence.

  6. If applicable, when on Academy Business, indicate that you will be responding to messages as you are able to.

Example messages to revise and create for your own use: 

Thank you for your email. I am out of the office from 5/1 to 5/3 and will respond to your message when I return on 5/4. If this is an urgent matter please contact [Insert name and email of alternative contact]

I am currently out of the office on Academy business and will return on Monday, October 29th. I look forward to connecting with you after I return. Should you require immediate assistance while I am out, please contact [Insert name of alternative contact at _____@ sdsu.edu]
